Photocopies - Guidelines

Illegible and incomplete pink PHOTOCOPY WORKSHEET forms will result in cancellation of photocopy orders. Please print legibly and fill out forms completely.

Below are some general guidelines regarding photocopying at the Center for American History:

Books

  • Most, but not all, book materials may be photocopied by patrons using the public copier in the Information Services Area. Patrons must check with the reference staff on duty to assess the condition of the materials before attempting photocopying.
  • The public photocopiers and microfilm reader-printers in the Center do not accept cash. UT Copycards are available for purchase at the Center.
  • Books, or items within books such as fold out maps, larger than 11" x 17" will not be photocopied.
  • Items larger than 11" x 17" can be digitally captured and saved to a CD.  See the photographic duplication price list.
  • If CAH Staff must copy the book, the patron must complete a pink PHOTOCOPY WORKSHEET form.

Manuscripts

  • All manuscript collection materials (including ledgers, typescripts, printed items, broadsides, ephemera, etc.) must be photocopied by the CAH Staff.
  • CAH Staff will make the final determination whether an item can be copied based upon condition, size, and donor agreements.
  • Patrons must complete a pink PHOTOCOPY WORKSHEET form for all manuscript photocopy orders.

Photographs/Visual Materials

  • All photographs must be copied or otherwise reproduced by CAH and University staff. Patrons may not scan or photograph visual materials themselves.
  •  Patrons must complete a pink PHOTOCOPY WORKSHEET form for photocopies.

Vertical Files

  • All materials designated as Vertical Files or Vertical File Scrapbooks, including Tolbert's Texas scrapbooks, may be copied by patrons who have a UT Copycard.
  • Scrapbooks and clippings from manuscript collections are handled as manuscripts, and must be copied by the CAH Staff. Patrons must complete the pink PHOTOCOPY WORKSHEET form.

Texas Directories

  • All Texas city and telephone directories must be photocopied by CAH staff. Some directories may be too fragile to be photocopied at all. Patrons must complete the pink PHOTOCOPY WORKSHEET form.
  • Patrons, using their own cameras and under direct supervision of CAH Staff, may photograph items from the Texas directories collection without flash or additional lighting. Patrons must complete an ITEMS PHOTOGRAPHED BY PATRONS form.
  • The resulting images are for research only and may not be published.

Maps

  • Most maps, due to their size, may not be photocopied. If the original map is smaller than 11" x 17" it may be copied by the CAH Staff after the patron completes a pink PHOTOCOPY WORKSHEET form.
  • Items larger than 11" x 17" can be digitally captured and saved to a CD.  See the photographic duplication price list.
  • Patrons, using their own cameras and under direct supervision of CAH Staff, may photograph only USGS and Sanborn maps without flash or additional lighting. Patrons must complete an ITEMS PHOTOGRAPHED BY PATRONS form.
  • The resulting images are for research only and may not be published.

Newspapers

  • Most original format newspapers, due to size and preservation concerns, will not be photocopied. If the original paper is smaller than 11" x 17" it may be copied by the CAH Staff after the patron completes a pink PHOTOCOPY WORKSHEET form.
  • Patrons, using their own cameras and under direct supervision of CAH Staff, may photograph original format newspapers without flash or additional lighting. Patrons must complete an ITEMS PHOTOGRAPHED BY PATRONS form.
  • The resulting images are for research only and may not be published.

Newspaper Morgues

  • Due to their fragility, newspaper morgues must be copied by CAH Staff. The patron must complete a PHOTOCOPY WORKSHEET form.
  • We can search for clip files on specific topics or people that are provided to us by remote patrons.
  • We will not go through through the clippings files in search of specific articles.
  • Only one clipping will be copied per page.
  • If specific articles are not physically marked by patrons or by their proxy researchers, we will photocopy the entire clip file.
  • Some items may not produce entirely legible copies because of darkening of the original paper, datestamps, and grease pencil marks.
  • For the Newsweek morgue, the Center for American History will make copies of published materials only for researchers. Any requests for copies of unpublished material held in the files will be referred to Newsweek's Rights and Permissions Department.

Microformats

  • Copies from microfilmed materials can be made by patrons at the microfilm reader-printer in the Information Area. The machine does not accept coins. UT Copycards are available for purchase at the Center.
  • If the Center for American History has filmed a master negative, entire rolls of existing microfilm can be duplicated for $30. Patrons may be directed to other vendors for items not originally filmed by the Center.
  • Orders for original microfilming are accepted at the Center for American History's discretion and in special cases only. Partial collections will not be microfilmed. The processing and targeting of the collection (if necessary), as well as the microfilming, will be paid for entirely by the requestor, and the Center for American History will retain the master negative.
